Privacy Policy
Effective date: October 17, 2026 · Last updated: October 27, 2026
This policy explains what Powered by Kalon, LLC ("Kalon," "we," "us") collects, why, who helps us handle it, and the choices you have. It is our only privacy policy.
Who we are
Powered by Kalon, LLC is a Georgia limited liability company based in Alpharetta, Georgia. We build and run AI phone receptionists for businesses such as salons and wellness centers. Questions about privacy: poweredbykalon@gmail.com.
Two kinds of people, two kinds of responsibility
- You use our website, our questionnaire, our client dashboard, or our text alerts. Kalon decides how that information is used, and this policy covers it directly.
- You call a business that uses Kalon. The business decides how its callers' information is used. We handle it on the business's behalf, under our agreement with them. If you have a request about a call, you can contact that business, or email us and we will pass it to them.
What we collect
From our website and questionnaire
- What you type into the questionnaire: your name, role, email, phone number, and details about your business (locations, hours, services, policies, phone setup).
- Basic technical records our website host keeps to run and protect the site, such as the date and time of a visit and the type of browser.
From text alerts
- Your name, the business you work at, and your mobile number; the date, time, and way you agreed to receive alerts; the exact wording you agreed to; the internet address and browser you signed up from; and a record of the messages we send.
From the client dashboard
- The email address of each person a business asks us to give a login. When you sign in we email you a one-time code; we keep it only in scrambled form and only for 10 minutes. To stop people guessing codes, we briefly keep the time and internet address of each code request (about two days).
From calls to a business that uses Kalon
- The caller's phone number and, when given, their name and email.
- Appointment details: services, dates, times, and the staff member.
- A recording of the call's audio and a written transcript of it.
- Call details such as when it happened, how long it lasted, and how it ended.
Our phone assistants never ask for or take card or payment details.
Why we use it
- To answer calls, answer questions, and book, move, or cancel appointments for the business that was called.
- To show each business its own call history and how its assistant is doing, in a dashboard only the people that business chose can sign in to. Each business sees only its own calls.
- To set up a new client's assistant from their questionnaire answers, and to contact them about it.
- To find and fix problems, and to improve how the service works.
- To send the text alerts you asked for.
- To keep the service secure and to meet legal duties.
Calls, AI, and voices
- Calls are answered by an AI assistant, not a person. Its answers can be wrong, so businesses confirm anything important.
- We don't create voiceprints or identify callers by their voice. Returning callers are recognized by their phone number.
- We don't use call recordings or transcripts to train AI models. Our voice provider's standard terms allow it to use de-identified, combined call data to improve its own models.
Who we share it with
We share information only with the companies that help us run the service, and only so they can do that job. The full list, with what each one does, is on our service providers page. In short: our voice calling platform, the AI model companies that power the assistants, our hosting providers, our phone and text carrier, each client's own booking system, the tools that send alerts to business owners, the service that emails dashboard sign-in codes, and the file storage that keeps our own copies of call transcripts.
We do not sell personal information, and we do not share it for targeted advertising. We may also share information if the law requires it, to protect people's safety, or as part of a sale or merger of our business (with this policy still applying).
Text messages (SMS)
If you opt in to Kalon Alerts, we collect your mobile number and the time and method of your consent, and we use them only to send the alerts you asked for: late-client notices, and, for owners and managers, usage alerts (how many of the month's call minutes are used) and service alerts. A late-client notice tells you that one of your clients called the business to say they're running late. It includes only what you need to plan around it: the client's first name and last initial, their appointment time, and how late they expect to be. That information comes from the business you work at. Message frequency varies (usually 1–5 per day). Message and data rates may apply. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not sold, rented, or shared with anyone. We share your number only with the service providers that deliver the messages (for example, our SMS carrier), and only to deliver them. Reply STOP to cancel or HELP for help.
How long we keep it
- Questionnaire answers: while we work with your business, unless you ask us to delete them sooner. If your business doesn't become a client, we keep your answers until you ask us to delete them.
- Call recordings and transcripts: while the business that was called is our client, so it can review its calls. We delete them when that business asks us to, or when it stops being our client. When we delete a call, we delete both the recording and the transcript, from our voice provider and our own records. Some basic call details (like the time and length) may be kept for billing.
- Text alert records: for as long as you receive alerts, and afterward for as long as phone carriers require us to keep proof that you agreed.
Your choices
- You can ask to see, correct, or delete the information we hold about you. Email poweredbykalon@gmail.com. It's free, and we answer within 45 days.
- If we say no, you can ask us to look again. Reply to our answer with "appeal," and we'll respond within 45 days.
- If your request is about a call to a business, we'll pass it to that business, because it decides what happens to its callers' information.
- To stop text alerts, reply STOP to any message or email us.
Cookies and tracking
We don't use advertising cookies, tracking pixels, or session recording, and we don't follow you across other websites. So there is nothing to opt out of, and we treat "Do Not Track" and Global Privacy Control signals the same way we treat everyone: not tracked. The questionnaire keeps an unsent draft in your own browser so you don't lose your answers; you can clear it by clearing your browser's site data. The client dashboard sets one cookie that keeps you signed in, for up to 30 days of not using it; it is needed for signing in and is not used for tracking. Signing out removes it.
Children
Our website and services are for businesses, not for children under 13, and we don't knowingly collect information from them. Callers sometimes book appointments for a child; that information belongs to the business that was called.
Security
We use secure connections (HTTPS), limit who can reach stored information, and use providers that protect the data they hold. No system is perfectly secure. If a problem affects your information, we'll tell the affected business, and you where we're required to.
Changes to this policy
If we change this policy, we'll update the date at the top. For a meaningful change, we'll email our clients before it takes effect, and any new use of information will apply only going forward.
